Task Management:

The Hot Project Extranet allows you to create tasks for your Projects and assign them to users – both internally and to external clients.

A task carries several pieces of information:
- Title
- Description
- URL (A link to some relevant information)
- Job Id.
- Task Status
- Task Priority
- Task Type
- Who raised the task
- Who is the task assigned to
- Task notes & attachments
- Task time – In man-hours

This information lets you build up a ‘Task History’ which can be useful in many ways:
- Help with future tasks
- Help with project billing
- Help with project analysis
- Help with project ‘audit trails’

All users apart from ‘Standard Client Users’ can raise and view Project Tasks – for the projects they are invited to.

Create a Task:

- Open the desired ‘Project’
- Choose a Client
- Choose a Project
- Choose ‘Tasks’ on the ‘Tertiary’ navigation on the left hand side of the Extranet Screen
- Click ‘create task’ on the small secondary navigation bar
- Enter the desired values for your task
- The system will prompt you for mandatory fields depending on your user profile
- Enter any notes for this task
- Click ‘Browse’ to add an attachment
- Choose ‘Email Notification’
- Choosing ‘yes’ will send a notification email to all users who are invited to the project and ‘opted in’ for email notification
- You can view & customise who is ‘opted in’ by clicking on ‘invited users’
- Click ‘Create Task’

The task will now be created.
