Create a new Project:

The Hot Project Extranet organises all client work into ‘Projects’. Projects are major sub-divisions of work for a specific client. A project must exist within a ‘Client’ area.

Projects can contain:
- Files
- Milestones
- Tasks
- Notes

If the word ‘Projects’ does not apply to your industry, you can update this in the ‘Admin>System Preferences>Naming Configuration’ section of the Extranet. (See section 4 – Initial Setup).

Add a Project

1. Click ‘Clients’
2. Click on the desired ‘Client’
3. Click ‘Add Project’ on the small secondary navigation bar
a. The ‘Add Project’ screen will appear
b. The ‘Client’ field will be pre-populated
4. Enter your desired Project Title
5. Enter your desired Job No.
a. The Job No. can be any value
b. The Job No. does not have to be unique so, you can have multiple ‘Project’ directories for a single Job No.
6. Choose a project manager
7. Enter a short description for the project
8. Edit or Add (or Leave to the defaults) the settings for the initial creation of Folders.
a. Control folder names
b. Control folder access
9. Choose whether to invite clients
a. This is a quick way of inviting all users for this client
b. You can update this list later
10. Choose whether you want invited users to receive project updates via email
a. This setting can be ‘refined’ later
11. Click ‘Create’. Your new project will be instantly created.

Project Home:

Once a project has been created, you will be forwarded to the Project Home screen.

From this screen (See screengrab below) you can navigate to the Project ‘Files’, ‘Milestones’, ‘Tasks’ and ‘User Acces’.

Notes:

- Only Admin & SuperUsers will see the ‘User Access’ tab
- Access to Files, Tasks and Milestones is controlled on a ‘User by User’ basis using the ‘User Privileges’ options in the User Setup.
